Privacy Policy
Last updated: August 2026
We take the trust our donors place in us seriously. This policy sets out, in plain English, exactly what we do with your information.
1. Introduction
Love Hope Relief is a UK registered charity delivering Zakat, Sadaqah and emergency relief to families in underserved communities. We are the data controller for the personal information described in this policy.
This policy explains what personal information we collect when you donate, contact us, volunteer or use this website, how we use it, and the rights you have over it under UK GDPR and the Data Protection Act 2018.
2. What Information We Collect
- Donor details — name, email address, postal address, telephone number, donation amount, chosen fund and Gift Aid declaration status.
- Contact form submissions — the details you provide when making a general, media, complaint or feedback enquiry, or when applying to volunteer or partner with us.
- Newsletter sign-ups — your email address and consent record.
- Cookies and analytics data — limited technical information such as device type, browser and pages visited, used to keep the site working correctly.
- Payment information — card and bank details are entered directly with our regulated third-party payment providers. We never see or store full card numbers.
3. How We Use Your Information
- To process donations and issue receipts and confirmations.
- To claim Gift Aid on eligible donations where you have made a declaration.
- To send appeal updates and project reports — only where you have given consent.
- To respond to enquiries, complaints, volunteer and partnership applications.
- To improve the website, its content and its accessibility.
- To comply with legal, accounting and regulatory obligations, including Charity Commission and HMRC requirements.
4. Legal Basis for Processing
- Consent — marketing emails, newsletters and non-essential cookies. You may withdraw consent at any time.
- Contract — processing a donation, sponsorship or event registration you have asked us to complete.
- Legal obligation — Gift Aid records, financial reporting, safeguarding and anti-fraud duties.
- Legitimate interest — administering the charity, keeping accurate records and protecting the security of our systems.
7. Data Retention
Gift Aid declarations and donation records are kept for at least seven years to meet HMRC and accounting requirements. Enquiry and volunteer records are kept for up to two years after our last contact with you. Newsletter data is kept until you unsubscribe. Anything we no longer need is securely deleted.
8. Your Rights
- Access — request a copy of the personal data we hold about you.
- Correction — ask us to fix anything inaccurate or incomplete.
- Deletion — ask us to erase data we no longer need to keep.
- Objection — opt out of marketing at any time, with no effect on your donations.
- Restriction and portability — where those rights apply to your data.
To exercise any of these rights, contact us using the details below. We respond within one month. If you are unhappy with our response you can complain to the Information Commissioner's Office (ico.org.uk).
9. Data Security
The website is served over encrypted connections, access to donor records is restricted to staff who need it, and payments are handled entirely by PCI-compliant providers. We review our security measures and staff data protection training regularly.
10. Children's Privacy
We do not knowingly collect personal data from children under 16. Where a young person fundraises for us, we ask for a parent or guardian to make contact on their behalf. If you believe we hold data about a child, contact us and we will delete it.
11. Changes to This Policy
We may update this policy from time to time to reflect changes in our activities or in the law. The "Last updated" date at the top of this page always shows the most recent version.
12. Contact Us
For any privacy question or request, email info@lovehoperelief.com or write to us at Head Office, 12 Relief House, Example Street, Manchester, M1 2AB. You can also use our Contact Us page.
